Head Start monitoring · FA1 / FA2

Find the data gaps before the reviewer does.

Analyze your monitoring data and clarify your data story. Review Ready AI reads an agency's de-identified ChildPlus exports the way a federal reviewer will, then hands you a ranked Review-Readiness Scorecard — evidence, risk levels and a 30-day corrective roadmap. A Head Start Data Strategist confirms your results before they carry your letterhead.

Free trial: one de-identified export, no card. Graded only against the official FA1/FA2 question set loaded in the workspace.

What comes back

One scorecard, the same seven sections every time — so every client engagement looks like it came from the same disciplined practice.

  1. 01Readiness summary
  2. 02Coverage & data sufficiency
  3. 03Top gaps ranked by exposure
  4. 04Question-by-question findings
  5. 05Cross-report reconciliation
  6. 0630-day corrective roadmap
  7. 07Consultant validation pass

Why use Review Ready AI

A monitoring finding is expensive. Discovering it yourself is not.

Federal monitoring turns on whether the data can defend the program. Review Ready AI gives an agency — and the consultant advising it — a defensible read of that data while there is still time to act on it.

Weeks of desk review become an afternoon

Eleven exports, cross-checked against every applicable question, ranked by exposure. What normally takes a team days of spreadsheet pivots comes back as a drafted scorecard you review instead of assemble.

You walk in knowing your three biggest risks

Findings are ranked Critical → Clean with the data pattern behind each one, so leadership spends its prep time on what a reviewer would actually pull — not on whatever came up in the last staff meeting.

Every gap is traceable back to a record

Each item cites the export and the non-identifying ChildID behind it. When a director asks "how do you know?", you can show them instead of explaining the model.

A 30-day roadmap, not a list of complaints

The scorecard ends in sequenced corrective actions your agency can start Monday — the difference between a report that gets filed and one that changes the outcome.

The same method every year

The official FA1/FA2 question set, the export checklist and the scorecard format are already built in — so this year's audit is directly comparable to last year's instead of a fresh improvisation.

Built for FERPA from the first screen

De-identification is enforced in the workflow, exports are never exposed outside your workspace, and each consultant sees only their own clients.

The shift in how prep works

Cross-report reconciliation that surfaces contradictions

A narrative memo the agency reads once

A ranked scorecard with owners, evidence and a 30-day plan

Findings discovered by the reviewer, on the record

Findings discovered by you, while there's still time to fix them

How an engagement runs

Five steps from the data request to a scorecard your leadership team can open. Your staff pull exports; we handle the rest.

1 · You get a Data Request Sheet

A printable checklist naming the exact ChildPlus reports to pull and the columns to deselect, so your ERSEA and family services staff know precisely what to hand over.

2 · Exports are loaded, de-identified

Each export is saved under its module label in your project. Any file still carrying names, DOB, SSN, address, phone or email is refused before the engine ever sees it.

3 · Graded against the official questions

The current FA1/FA2 question set is already in the workspace and loaded with one click — and updated when OHS revises it. Nothing is graded from a model's memory.

4 · Strategist confirms the scorecard

Coverage, ranked gaps, reconciliation and a 30-day roadmap come back as a draft. A Head Start Data Strategist works Section 7 and confirms every finding before it reaches you.

5 · Shared as a read-only link

Your leadership team opens the finished scorecard through a private link — no logins to manage, and access can be revoked at any time.

Three guardrails, on purpose

The reasons your agency can trust the output — and the reasons a consultant can put their name on it.

Only the official questions grade you

OHS moved from 449 questions in FY25 to 203 in FY26. Any AI reciting "the FA1 questions" from memory is giving you a stale or invented set. This engine grades only against the official FA1/FA2 set loaded in the workspace, replaced whenever OHS revises it.

PII is refused at the door

ChildPlus exports carry child PII (FERPA / Head Start confidentiality). Files with names, DOB, SSN, address, phone or email are rejected on upload — before the engine reads them. Keep a non-identifying ChildID so findings stay traceable.

A Head Start Data Strategist confirms it

No scorecard is delivered straight out of the engine. Section 7 lists what must be verified, and a strategist works that pass and confirms each finding before your team sees it.

Risk levels in every scorecard

One shared vocabulary for triage, so leadership argues about priorities instead of definitions.

  • Critical

Likely a finding if pulled today

  • High

    Pattern suggests noncompliance

  • Moderate

    Integrity gap; undermines confidence

  • Clean

    Meets expectation on available data

  • Not data-evaluable

    Interview / observation / fiscal

Out of scope because it isn't in ChildPlus: governance interviews, fiscal systems, classroom / class observations. Those questions get flagged, never guessed.

What you'll need from the agency

One export won't cut it. Map these functions to your exact ChildPlus report names once, then reuse the list with every client.

Questions agencies ask first

Does it replace professional judgment?

No — and it's designed not to. Every run ends with Section 7, a validation pass listing what must be confirmed before delivery, and a Head Start Data Strategist confirms the results. The scorecard is a well-evidenced draft; a person remains the author of record.

How do you keep the questions current?

The official FA1/FA2 set is loaded into the workspace and replaced when OHS revises it. OHS moved from 449 questions in FY25 to 203 in FY26, so any tool reciting "the FA1 questions" from memory is working from a stale or invented set. Only the loaded question bank grades your data.

What about child PII?

Exports must be de-identified before loading — no names, DOB, SSN or address. Keep the non-identifying ChildID so findings stay traceable without exposing a child.

What can't it evaluate?

Anything that isn't in ChildPlus: governance interviews, fiscal systems, classroom / class observations. Those questions are flagged as not data-evaluable, never guessed.

See it on your own data

Two ways to start — neither needs a full data pull.

Try it free with one export

Create a free account, upload a single de-identified export, and get a Readiness Snapshot back: what that file could and couldn't answer, your top three exposures with evidence, and the data-integrity notes underneath them.

  • One file, one snapshot — usually back in minutes
  • Files carrying names, DOB, SSN, address, phone or email are refused before the engine sees them
  • Graded only against the official FA1/FA2 question set

Or have us walk your team through it

Tell us about the agency and the review window. We'll run a live audit against your own de-identified exports and talk through what it surfaces.

No child-level data in this form — we only need a way to reach you.

Walk into your review with a scorecard, not an opinion.

Pull the exports on the data request sheet and you'll have a ranked, evidence-backed readiness draft the same week — confirmed by a Head Start Data Strategist before it reaches your team.
